AI Use Policy

This AI Use Policy applies to Assisted AI features in KM Execution System, including AI Intake.

Assisted AI is designed to help authorized teams turn messy planning text into draft execution records. It is optional, human-controlled, and not a substitute for professional judgment.

1. Optional and Organization-Controlled

Assisted AI is disabled unless an authorized workspace owner enables it in organization settings.

When Assisted AI is off, KM Execution System does not send workspace text to the AI provider through AI Intake. Owners are responsible for deciding whether Assisted AI is appropriate for their organization and for managing access to it.

2. Who Can Use It

Only authorized workspace owners and managers may use AI Intake. Members cannot submit AI Intake requests.

Customers are responsible for ensuring that users authorized to use Assisted AI understand this Policy and the customer's own information-handling requirements.

3. What AI Intake Does

AI Intake may analyze text that an authorized user deliberately submits and return draft suggestions for projects, tasks, risks, budgets, dependencies, and follow-up questions.

The Service may provide limited organization context, such as existing project names and organization member names, so the draft can be more relevant.

4. Human Review Is Required

AI Output is a draft only. It may be incomplete, inaccurate, misleading, or unsuitable for the customer's situation.

No projects, tasks, risks, dependencies, assignments, or other execution records are created from AI Output until an authorized user reviews the suggestions and chooses to create them. Users must verify dates, budgets, dependencies, assignments, risks, and all other material details before relying on or saving AI Output.

5. Information You Must Not Submit

Unless KM Consulting has agreed in writing that the Service is appropriate for the use, do not submit protected health information, payment card data, government classified information, export-controlled technical data, highly sensitive personal information, sensitive legal evidence, safety-critical approval records, or other information subject to heightened legal, contractual, or regulatory restrictions.

Do not submit information that you do not have the right to use or disclose to KM Consulting and its service providers.

6. AI Provider and Data Handling

KM Consulting uses the OpenAI API for AI Intake. When Assisted AI is used, the submitted text and limited workspace context needed to generate a draft are transmitted to OpenAI.

KM Consulting requests that the Responses API does not store application response state for the request. OpenAI states that API inputs and outputs are not used to train its models by default unless the API customer opts in to data sharing. OpenAI may retain limited content in abuse-monitoring logs according to its then-current data controls and legal obligations.

KM Consulting's AI interaction audit records are designed to retain request metadata, a cryptographic hash and length of the submitted text, and usage/outcome information rather than the submitted source text itself.

7. No Professional Advice or Automated Decisions

Assisted AI does not provide legal, medical, financial, tax, investment, regulatory, compliance, safety, or other professional advice. It must not be used as the sole basis for decisions that require qualified review, formal approval, or independent verification.

Customers and users remain responsible for all decisions, actions, approvals, compliance obligations, and outcomes arising from their use of the Service or AI Output.

8. Changes and Availability

KM Consulting may change, limit, suspend, or discontinue Assisted AI features to address security, legal, provider, product, operational, or business needs.
